OSHO Wellness Centre respects your privacy and is committed to protecting the personal information entrusted to us.

This Privacy Policy explains how OSHO Wellness Centre collects, uses, discloses, stores and protects personal information when you:

  • Visit our Centre or website;
  • Register for a meditation, class, workshop, retreat or therapy session;
  • Become a member, volunteer, facilitator or instructor;
  • Make a payment, membership contribution or donation;
  • Subscribe to our email, text-message or social-media communications; or
  • Otherwise communicate or interact with us.

This policy is guided by British Columbia’s Personal Information Protection Act, commonly known as PIPA, and other applicable Canadian privacy laws.


1. About OSHO Wellness Centre

OSHO Wellness Centre is a meditation and wellness centre located in Surrey, British Columbia.

We offer meditation programs, wellness classes, workshops, retreats, therapeutic services, community activities, memberships and volunteer opportunities.

For the purposes of this Privacy Policy, “OSHO Wellness Centre,” “the Centre,” “we,” “us” and “our” refer to OSHO Wellness Centre and the authorized individuals who operate or provide services through the Centre.


2. Accountability

OSHO Wellness Centre is responsible for personal information under its control.

We designate a Privacy Officer to oversee our privacy practices, answer questions, respond to privacy requests and help ensure that personal information is handled appropriately.

Staff members, volunteers, facilitators, instructors and service providers who may have access to personal information are expected to respect confidentiality and use the information only for authorized Centre purposes.


3. What Is Personal Information?

“Personal information” means information about an identifiable individual.

Personal information may include:

  • Name;
  • Email address;
  • Telephone number;
  • Mailing address;
  • Date of birth or age;
  • Emergency-contact information;
  • Membership information;
  • Event and program registrations;
  • Attendance history;
  • Payment and transaction information;
  • Photographs, audio recordings or videos;
  • Communications with the Centre;
  • Accessibility requirements;
  • Dietary preferences;
  • Health, wellness or medical information voluntarily provided to us;
  • Therapy, meditation or wellness goals;
  • Waiver and consent information;
  • Volunteer or facilitator information;
  • Website usage information; and
  • Any other information that can reasonably identify an individual.

Personal information does not generally include business contact information used solely to communicate with an individual in relation to their employment, business or professional responsibilities, where permitted by law.


4. Personal Information We Collect

Depending on your relationship with the Centre, we may collect the following categories of information.

A. Contact and Registration Information

We may collect your:

  • Name;
  • Telephone number;
  • Email address;
  • City or general location;
  • Emergency-contact details;
  • Program selections;
  • Registration history; and
  • Communication preferences.
B. Membership and Payment Information

When you purchase a membership, register for a paid program, make a donation or pay for a service, we may collect:

  • Billing name;
  • Transaction amount;
  • Payment status;
  • Membership type;
  • Receipt information; and
  • Limited payment-related information supplied by our payment processor.

Credit-card and debit-card information is generally processed directly by third-party payment providers. The Centre does not normally receive or retain complete card numbers or security codes.

C. Health, Wellness and Therapeutic Information

For private sessions, retreats, intensive programs or activities involving physical or emotional wellness, we may ask you to voluntarily provide information such as:

  • Relevant health concerns;
  • Allergies;
  • Injuries or physical limitations;
  • Medications that may affect participation;
  • Accessibility requirements;
  • Emotional or therapeutic concerns;
  • Meditation or wellness goals;
  • Previous experience with meditation or therapy; and
  • Information needed to respond appropriately in an emergency.

We collect only information that is reasonably necessary for safety, program delivery or the service you request.

OSHO Wellness Centre is not a hospital or emergency medical provider. Participants should contact an appropriate licensed healthcare professional or emergency service when medical assistance is required.

D. Photographs, Audio and Video

We may take photographs, audio recordings or video recordings during certain public events, celebrations, workshops or community programs.

Where an individual is clearly identifiable and the material will be used for promotional, educational or public purposes, we will obtain consent when required.

You may decline photography or recording by informing the event facilitator or Centre representative. Certain events may also be designated as no-photo or no-recording events.

Private therapy sessions are not recorded unless the participant gives specific consent and the recording has a clearly identified purpose.

E. Website and Technology Information

When you visit our website or use an online registration service, certain technical information may be collected automatically, including:

  • Internet Protocol address;
  • Browser type;
  • Device type;
  • Operating system;
  • Pages visited;
  • Referring website;
  • Date and time of access; and
  • General website interaction information.

This information may be collected through cookies, website analytics or similar technologies.

F. Communications

When you contact us by telephone, text message, email, social media, online form or in person, we may retain information contained in the communication so that we can respond, provide services and maintain appropriate records.


5. How We Collect Personal Information

  • Through registration or membership forms;
  • Through waivers, consent forms or intake forms;
  • Through our website;
  • Through telephone calls, emails and text messages;
  • Through social-media communications;
  • Through event-registration or scheduling platforms;

  • From a person registering on behalf of a group; or
  • From another source where you have consented or where collection is permitted by law.

We will not obtain personal information by misleading or deceptive means.

  • Registering participants for programs and events;
  • Confirming, changing or cancelling registrations;
  • Managing memberships;
  • Scheduling private sessions;
  • Delivering meditation, wellness, therapy and educational services;
  • Assessing whether an activity is appropriate for a participant;
  • Accommodating accessibility, dietary or safety requirements;
  • Responding to emergencies;
  • Maintaining attendance and participation records;
  • Processing payments, refunds, donations and receipts;
  • Communicating program instructions, reminders and updates;
  • Responding to inquiries and requests;
  • Managing volunteers, facilitators and instructors;
  • Maintaining the security of participants, visitors and Centre property;
  • Administering waivers and consent forms;
  • Sending newsletters and information about upcoming programs where consent has been provided or communication is otherwise permitted by law;
  • Improving our programs, services and website;
  • Meeting insurance, accounting, tax and legal requirements;
  • Investigating concerns, incidents or complaints;
  • Protecting the legal rights and safety of the Centre and others; and
  • Carrying out another reasonable purpose that is explained at or before the time of collection.

We will not use personal information for a materially different purpose without obtaining additional consent, unless otherwise permitted or required by law.


7. Consent

We seek meaningful consent for the collection, use and disclosure of personal information, except where consent is not required or is not appropriate under applicable law.

Consent may be:

  • Written or verbal;
  • Provided electronically;
  • Given by completing a registration or intake form;
  • Given by voluntarily providing information for an identified purpose; or
  • Provided through another clear affirmative action.

The form of consent will depend on the sensitivity of the information and the reasonable expectations of the individual.

Express consent will generally be requested before collecting, using or disclosing sensitive information, such as health information, therapeutic information or identifiable photographs used for promotional purposes.

You may withdraw consent, subject to legal, contractual or practical restrictions and reasonable notice. Withdrawal of consent may affect our ability to provide a requested service or permit participation in an activity.

We will explain the consequences of withdrawing consent when appropriate.


8. Children and Minors

Programs involving children or minors may require consent from a parent or legal guardian.

We may collect information about a minor when reasonably necessary to:

  • Register the minor for an approved program;
  • Communicate with the parent or guardian;
  • Protect the minor’s health and safety;
  • Respond to an emergency; or
  • Meet legal, insurance or program requirements.

We will use additional care when handling information about minors and will not knowingly use a minor’s information for unrelated marketing without appropriate consent.

Parents and guardians should avoid submitting unnecessary sensitive information about a child.


9. Electronic Communications and Marketing

With your consent, or where otherwise permitted by Canadian law, we may send:

  • Event announcements;
  • Meditation schedules;
  • Registration reminders;
  • Membership information;
  • Newsletters;
  • Workshop and retreat information;
  • Volunteer opportunities; and
  • Other Centre-related communications.

Communications may be sent by email, telephone, text message, messaging application or social-media platform.

You may unsubscribe from promotional electronic messages at any time by:

  • Using the unsubscribe option included in the message;
  • Replying “STOP” where available;
  • Updating your communication preferences; or
  • Contacting the Centre.

Unsubscribing from promotional messages will not prevent us from sending necessary transactional or service-related messages, such as registration confirmations, schedule changes, payment receipts or safety information.

We do not sell or rent our mailing lists.


10. When We May Share Personal Information

We may disclose personal information only for an identified and reasonable purpose, with consent or as permitted or required by law.

Personal information may be shared with:

A. Authorized Centre Personnel

Information may be accessed by authorized staff members, facilitators, instructors, therapists, volunteers or administrators who reasonably require it to perform their responsibilities.

Access is limited according to the individual’s role and the sensitivity of the information.

B. Service Providers

We may use third-party service providers for:

  • Event registration and scheduling;
  • Website hosting;
  • Email and text-message delivery;
  • Payment processing;
  • Accounting;
  • Cloud storage;
  • Video conferencing;
  • Information technology support;
  • Website analytics; and
  • Business administration.

These providers may process personal information on our behalf. We take reasonable steps to select providers that offer appropriate privacy and security protections.

Third-party platforms have their own terms and privacy policies. Participants should review those policies before using the services.

We use reasonable measures to ensure that service providers handle personal information only for authorized purposes and provide safeguards appropriate to the sensitivity of the information.

Participants who do not wish to use a particular third-party platform may contact the Centre to ask whether a reasonable alternative is available.

Our website may use cookies and similar technologies to:

  • Understand how visitors use the website;
  • Improve website performance;
  • Maintain website security; and
  • Measure the effectiveness of communications.

13. Security Safeguards

OSHO Wellness Centre uses reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information.

  • Locked storage for paper records;

No electronic system or method of transmission is completely secure. We cannot guarantee absolute security, but we take reasonable steps to reduce foreseeable risks of loss, theft, unauthorized access, use, disclosure, alteration or destruction.


14. Privacy Breaches

A privacy breach occurs when personal information is lost, stolen, accessed, used or disclosed without authorization.

If we become aware of a suspected privacy breach, we will take reasonable steps to:

  • Contain the incident;
  • Protect affected information;
  • Investigate what occurred;
  • Assess the potential risk of harm;
  • Correct weaknesses that contributed to the incident;
  • Document the incident; and
  • Notify affected individuals, regulators or other authorities where required or appropriate.

Participants should notify the Centre promptly if they believe their information has been compromised or improperly handled.


15. Accuracy of Information

We make reasonable efforts to ensure that personal information used to make decisions or provide services is accurate, complete and current.

Participants are encouraged to notify us when their contact, emergency, health, accessibility or other relevant information changes.


16. Retention and Destruction

We retain personal information only for as long as reasonably necessary to:

  • Fulfil the purposes for which it was collected;
  • Provide requested services;
  • Meet legal, accounting, tax, insurance or contractual obligations;
  • Respond to disputes or complaints; and
  • Maintain necessary operational records.

Different categories of information may have different retention periods.

When personal information is no longer reasonably required, we will securely destroy, delete or anonymize it, subject to legal and technical limitations.

Payment, tax and accounting records may be retained for the period required by applicable law.


17. Accessing Your Personal Information

You may submit a written request to access personal information about you that is under the Centre’s control.

Subject to applicable legal exceptions, we will tell you:

  • Whether we hold personal information about you;
  • How the information has been or is being used;
  • To whom it has been disclosed where required; and
  • How you may obtain access to the information.

We may ask you to provide information necessary to verify your identity before responding.

We will respond within the time required by applicable law. A reasonable fee may be charged where permitted by law, but we will provide advance notice of any fee.

Access may be limited or refused where permitted or required by law, including when disclosure would reveal personal information about another individual, confidential commercial information, privileged information or information that could create a serious safety risk.

When access cannot be provided, we will explain the reason, subject to legal restrictions.


18. Correcting Personal Information

You may request correction of personal information that you believe is inaccurate or incomplete.

Where appropriate, we will correct the information and may notify third parties that received the incorrect information.

When we do not agree that a correction is required, we may note the requested correction in our records where appropriate.


19. Privacy Complaints and Concerns

Questions, access requests, correction requests and complaints should first be directed to the Centre’s Privacy Officer.

We will:

  • Acknowledge the concern;
  • Review the circumstances;
  • Conduct an appropriate investigation;
  • Respond within a reasonable period; and
  • Take corrective action where warranted.

If a privacy concern is not resolved to your satisfaction, you may contact the Office of the Information and Privacy Commissioner for British Columbia.

You may also contact the Office of the Privacy Commissioner of Canada where federal privacy law applies.


20. Third-Party Websites and Social Media

Our website, emails and social-media pages may contain links to third-party websites, applications or services.

The Centre does not control the privacy practices of third parties and is not responsible for how they collect, use, disclose or protect information.

Information posted publicly on social media may be viewed, copied or shared by others. Participants should avoid posting confidential, sensitive or therapeutic information through public social-media channels.

Direct messages sent through social-media platforms are also subject to the platform provider’s privacy practices.


21. Confidentiality During Group Programs

Participants in meditation groups, therapy groups, workshops and retreats may hear personal experiences shared by other participants.

All participants are expected to respect the privacy and confidentiality of others and not disclose another participant’s identity, personal story, photograph, recording or private information without permission.

While the Centre establishes confidentiality expectations, it cannot guarantee that every participant will comply. Participants should use discretion when sharing sensitive personal information in a group setting.


22. Changes to This Privacy Policy

We may update this Privacy Policy to reflect:

  • Changes to our programs or services;
  • Changes in technology;
  • Changes in third-party service providers;
  • Operational developments; or
  • Changes in legal or regulatory requirements.

The current version will be posted on our website with the effective or last-updated date.

Material changes may also be communicated through email, registration notices or other appropriate means.

Continued participation in Centre activities after a policy update does not replace any consent that is specifically required by law.
